CSO PRIVACY POLICY
Christchurch Symphony Trust (CSO or we, us, our) complies with all relevant privacy laws, including the New Zealand Privacy Act 2020 (the Act), when dealing with personal information.

This privacy policy provides information on how we may collect, store and use personal information.
As someone who deals with us and provides us with personal information, you agree to be bound by this policy.
We collect personal information from you, this may include the following information:
- Name
- Age
- Gender
- Contact information
- Address
- Information about your interactions or transactions with us, including any registration process
- Donation activity
- Billing or purchase information (which may include payment details and other financial information)
- Any other personal information you provide when you interact with us
We may collect other personal information from time to time. We will only collect information where needed for us to deliver our services or where required by law.
We may also collect personal information (e.g. images and recordings) about you when we photograph, film or broadcast any concert or event, including in venue foyers and entrances prior to and after concerts and during intervals.
The personal information that we collect from you is held in accordance with the Act (in particular, the Privacy Principles contained in the Act).
Providing the above information is generally optional for you. However, if you do not provide information to us when requested, we may not be able to provide services to you or provide up to date information regarding our activities and events.
We may collect your personal information:
- Via our website and any related service or website
- Through any registration process
- Through any contact with us (example: telephone call or email or on our website)
- While interacting with you or providing any services to you
- When you opt in to receive newsletters from us
- When we photograph, film or broadcast any concert or event, including in venue foyers and entrances prior to and after concerts and during intervals

If you have provided us with information about another person, you must have that person’s permission to do so. As part of this you need to comply with your obligations under the Act. For example, you may need to tell that other person that you have done so, that they have a right to access their information and that we will handle their personal information in accordance with this policy.
We collect your personal information in order to:
- Verify your identity
- Provide information and services to you around CSO concerts, community engagement, events and activities
- Collect payments or donations from you
- Assist you with any registration processes
- Maintain and administer our records
- Market and improve our services
- Fundraise, support and generate sales for CSO activities
- Interact with you and respond to communications from you, including any enquiry or complaint
- Conduct research and statistical analysis (on an anonymised basis)
- Protect and/or enforce our legal rights and interests, including defending any claim
- Comply with our legal obligations
If you are photographed or filmed whilst attending a CSO concert or event, you consent to CSO or third parties appointed by CSO broadcasting, publishing, licensing and using any photographs, film, recordings and images of you without compensation.
We may also use your personal information for other purposes for which you have given permission or which are required or allowed by law.
We may share your personal information with the following, where relevant to them:
- Our employees, contractors, suppliers and agents
- Third-party vendors and service providers in order to help us with specialized services, including billing, payment processing, email deployment, business analytics, marketing, advertising, performance monitoring, hosting, and data processing. We take reasonable steps to prevent these third parties from using your information for any purpose other than the services they are providing directly to CSO.
- A business that supports our services. Such business may be located outside New Zealand. This may mean your personal information is held and processed outside New Zealand, for example, cloud storage.
- Our advisors.
- Any other person authorised by the Act or another law (example: a law enforcement agency).
- Any other person authorised by you.

Our website terms of use govern your use of our website and are available here.
This privacy policy only relates to our website and our services. If you follow a link on our website to another third party site, the owner of that site will have its own privacy policy relating to your personal information. We suggest you review that site’s privacy policy before you provide personal information to them or any other third party. We are not responsible for the privacy practices or the content of other websites.
Storage and protection of information
We take reasonable steps to keep your personal information safe from loss, unauthorised activity, or other misuse. We cannot promise that your personal information will be completely free from access by an unauthorised person (e.g. a hacker).However, we use reasonable safeguards to minimise the risk of this occurring.
We keep personal information only for as long as it is needed and will take reasonable steps to securely destroy or delete personal information where it is no longer required. Personal information may continue to be stored in a backup computer system and we may be required by law to retain certain personal information.
Access and correction of information
Aside from some circumstances set out in the Act, you have the right to access the personal information we hold about you, and to ask for it to be corrected if you think it is wrong. If you’d like to do so, please contact us at marketing@cso.co.nz.
In some cases, there may be a charge associated with providing copies of your personal information to you. If so, we will let you know before sending your information to you.
